Shift plan, timesheet and progress billing: in a security project, these are the three records on which both cost and revenue rest. The plan is set up once in the contract, while the timesheet and the progress billing are created anew every month.

When a shift goes uncovered, can you deduct it from the progress billing? Are you sure that the extra hours requested by the client are reflected in the invoice? At month end, can you see from a single screen which project has not been billed?

The session will be led by Kaan Altunterim, CEO of Pargesoft, who will address on screen the three points that consume the most effort in this industry.

The bid cost is built in Excel and carried into the contract by hand. When one line is missed, the project is already loss-making before it starts. In the solution, gross salary, employer’s social security contributions, uniform, equipment, training, meal and travel items sit in the contract’s cost analysis sheet as formulas. Gross profit, net profit and the selling price come out of that same sheet.

A shift left uncovered through sickness or leave is filled over the phone, and no record is created anywhere. In the solution, the new assignment is made in the system, a transfer request is raised to the other project’s manager where needed, and the shortfall is deducted as a separate line in the progress billing.

Month-end progress billing turns into days of work for a separate team. In the solution, the invoice proposal and the invoice detail are generated automatically from the timesheet, pass through operational and management approval, and are then either sent to the client as a proforma or raised directly, according to the contract. Which project has not been billed and where the timesheet has drifted from the plan are visible on the same screen.

  • Feeding payroll from the timesheet, allocating the cost of staff working on several projects across those projects, and reporting profitability by project
