At personal care and cosmetics company Farmasi, comprehensive and specialized human resources needs are being met efficiently through the Payroll and Cloud-HR solutions developed by Pargesoft.
Farmasi, a health, personal care, and cosmetics company founded in 1950, today offers more than 2,000 different products. The company manufactures at its facility built on 100,000 m² of land in Ömerli, Istanbul, with an annual production capacity of 500 million units, and employs close to 1,000 white- and blue-collar staff.
Farmasi, on its way to becoming Turkey’s largest direct sales company, needed to manage its human resources processes more efficiently and easily. However, because of its large workforce and the need for different applications tailored to different departments, a comprehensive and customized solution beyond standard products and applications was required. The Payroll solution, developed by Pargesoft on top of Dynamics NAV, together with the Cloud-HR solution, which received additional development to meet Farmasi’s specific needs, met all expectations on this front.
As part of the project, which began in 2019, the necessary development and setup work was carried out at Farmasi’s request so that the Cloud-HR solution, which normally runs on Microsoft Azure, could run on Farmasi’s own servers. As a result of the project, completed with Pargesoft’s experience and expertise, a highly comprehensive solution covering everything from payroll to employee performance evaluations delivered a significant increase in speed and efficiency across all human resources processes.
HR Processes on a Single Platform
With the Payroll solution developed by Pargesoft, all of Farmasi’s processes for each employee — from hiring through to termination — are managed on a single platform. Processes such as opening employee cards, where all required information from personal details to workplace data is stored, and timesheet transfers are carried out through this solution. When recording timesheets, all daily work, overtime, additional income, deductions, and private insurance are presented to the user on a single screen. Similarly, government incentives, which are frequently updated and need to be tracked closely, can also be monitored through the Payroll solution. Every employee who logs into the system with a username and password can view their payslip on this screen after filling in the required information. Steps such as generating employees’ e-Declarations and creating bank transfer files are also carried out through the Payroll solution. Severance pay, notice pay, and remaining annual leave entitlements for departing employees are calculated automatically. All legal calculation processes within Payroll are carried out in compliance with regulations.
Ease of Performance and Leave Management with Cloud-HR
Cloud-HR, the cloud-based human resources solution developed by Pargesoft, is also among the solutions offered to Farmasi. With the Cloud-HR solution, which received additional development tailored to Farmasi’s specific needs and expectations, all processes — from performance management to document tracking — can be managed smoothly.
Numerous tools offered by Cloud-HR, such as performance evaluations and bell curve reports, provide Farmasi with comprehensive performance management. For example, one week before a new employee completes their 2nd and 6th month, a notification is sent to their manager to evaluate the employee’s performance, and the evaluation survey is sent by email.
Leave management, which is critically important for companies with a large workforce, also becomes much easier with Cloud-HR. Cloud-HR’s Leave Management function makes it possible to track employees’ leave requests, paid and unpaid leave, and overtime. Within this solution, which operates according to an approval mechanism aligned with Farmasi’s processes, an employee’s leave request goes to the HR department for approval after first being approved by their manager. This helps ensure that the right decisions are made quickly in leave processes.
Efficiency from Time Tracking to Document Tracking
The Cloud-HR solution was also integrated with the Meyer employee card access and tracking system used at Farmasi. With this integration, all information such as the days employees came to work or were absent, and their entry and exit times, can be tracked through Cloud-HR.
The convenience Cloud-HR offers for document tracking also makes document recording and tracking at Farmasi more efficient. With department-specific development applied within Cloud-HR, employees can easily access and print documents belonging to their own departments. Likewise, special dates such as employees’ birthdays and work anniversaries can be viewed through Cloud-HR by both the employees themselves and the HR department.
