Operational Leasing Solution
When people think of operational leasing, long-term vehicle rental is usually the first thing that comes to mind. Yet contract-based lease offerings bundled with a service package are expanding rapidly across a wide range of industries - from copier and print systems to alarm monitoring and heavy equipment.
Pargesoft's Operational Leasing solution consolidates contract management, billing, service operations and profitability analysis into a single platform - giving you full control over every process, from head office down to the last device in the field. As the diversity of contract types, leased assets and locations grows, manual tracking becomes unmanageable; this is precisely where the solution steps in.
Whether it's vehicle rental, copiers, heavy equipment or any subscription-based business model, one truth remains constant: revenue is embedded in accurate billing. A missed price escalation, an uninvoiced charge, or a contract that quietly expires - what look like small leaks can add up to significant revenue loss over time. Bringing the entire process onto a single platform is the most reliable way to stop that loss.
Which industries does it cover?
Recurring revenue models are no longer limited to vehicle leasing. The solution adapts to any sector operating on periodic contracts and variable billing.
Long-term Vehicle Leasing
Copier & Print Systems
Forklift & Heavy Equipment
Laboratory Equipment
Coffee & Beverage Machines
Gas Cylinder & Tank Rental
IT Equipment & Software
Alarm & Security Systems
Automate complex billing structures
Fixed rent, variable usage, prorated calculations, early payment discounts - all defined within a single contract. At period end, invoices generate automatically. These calculations may be manageable manually for a handful of assets, but once you are dealing with thousands of devices and hundreds of contracts, manual tracking becomes impossible. The solution accurately computes every line item and converts it to an invoice in one step, turning processes that once took weeks and were prone to human error into something fast, reliable and accurate.
- Tiered pricing: unit price adjusts based on consumption volume
- Print-per-click model: separate pricing by print type and page format
- Vehicle leasing: toll charges, traffic fines and insurance pass-through
- Weekly, monthly, quarterly or annual billing cycles
- Prorated calculations automated at day-level granularity
- Direct integration with e-invoice and e-archive workflows
Billing models for every business model
Instead of a one-size-fits-all contract template, billing models structured around the actual dynamics of your industry.
Fixed Periodic
The same amount every period; contract duration, renewal and termination dates are tracked automatically.
Fixed + Usage-Based
A fixed base fee plus usage-dependent line items added automatically at period end based on meter readings.
Fully Usage-Based
No fixed component; billing varies by consumption volume, threshold values, or revenue percentage.
True profitability at vehicle and asset level
Getting the revenue side right through accurate billing is not enough; costs also need to be correctly allocated to each individual asset. Every vehicle and device carries its own cost structure. Leasing companies typically grow their fleets through long-term credit facilities; the interest on those loans, any foreign exchange differences and financing costs are attributed to the relevant vehicle. Once depreciation, taxes, insurance policies and damage provisions are all attached to the same asset, genuine per-plate or per-device profitability becomes visible from a single screen.
- Capitalisation of syndicated loan interest and FX differences at vehicle level
- Depreciation, special consumption tax and motor vehicle tax tracking at asset level
- Insurance policies linked to assets with integrated damage management
- Residual value estimation and damage assessment at return
- Automatic connection of the remarketing process to the disposal account
- Service and maintenance work order costs reflected at asset level
Contracts, deployment and service under one roof
From the moment a contract is signed through asset delivery to the customer, from service work orders to periodic invoicing - the entire process runs through a single system. In operational leasing, service requirements such as toner replacement for copiers, scheduled vehicle maintenance, meter readings and breakdown interventions become recurring transactions. All interactions touching contracts, customers and devices are tracked in the central system; authorised dealers and service providers involved in installation and maintenance can also be incorporated into the billing flow with ease.
- Central relationship management across contracts, customers and assets
- Automatic generation of recurring maintenance work orders
- B2B integration with an authorised dealer and service portal
- Meter and counter data flowing into invoices via IoT, web or manual entry
- Full audit trail from fault logging to service closure
- SLA tracking and per-customer reporting
End-to-end: from quote to disposal
Every stage of the operational leasing lifecycle is defined within the solution - no process runs outside the system.

Frequently asked questions
The most common questions about operational leasing and subscription billing.
Operational leasing software brings contract management, variable billing, service and maintenance tracking, and asset-level cost analysis together in a single platform. By accurately matching revenue and costs for every leased asset - vehicles, copiers, heavy equipment and more - it eliminates the revenue leakage that arises from manual tracking.
No. The solution adapts to any sector operating on periodic contracts and variable billing. Beyond long-term vehicle leasing, it is used across copier and print systems, forklifts and heavy equipment, laboratory equipment, coffee and beverage machines, gas cylinder and tank rental, IT equipment and software subscriptions.
Yes. Usage-based line items can be added on top of a fixed base fee. Scenarios such as print-per-click billing by page type and format for copiers, toll charge pass-through for vehicles, and variable unit pricing based on threshold values for energy distribution are all configurable. When meter or counter data is entered at period end, every charge converts to an invoice automatically.
If you have fewer than 200 users, five or fewer legal entities, and operate in a single country, Business Central is generally sufficient. For multi-entity, multi-country structures that require multi-currency support and IFRS reporting, we recommend Finance & Supply Chain. The Subscription Billing scope is largely the same in both; the difference lies in scale and reporting depth.
Yes. Invoices connect directly to the Turkish Revenue Administration (GIB) e-invoice and e-archive workflow - even for a fleet of thousands of vehicles, all invoices can be generated and sent in a single batch. On the collections side, integrations are available with Bulut Tahsilat and Finrota for single-point reconciliation with virtually all Turkish banks, and with the MT940 standard for international bank statement matching.
Yes. Subscription Billing automates revenue deferral and the spreading of costs to the correct period through configurable accrual schedules. This structure is fully compatible with international reporting standards such as IFRS 15 and ASC 606 - one of its strongest features for leasing companies with international reporting obligations.
